Invoices and bank statements, kept in step

Every payment with its document. Every month closed complete.

Tally collects the invoices your company receives, reads them for you and matches each one to the bank movement that paid it. You always know what is still missing, and your accountant gets a clean, complete month instead of a box of papers.

Bank statement · OctoberExample
  1. DD EDP COMERCIAL−86,40 € Matched to invoice FT 2026/88123
  2. TRF P/ OFFICE RENT−500,00 € Rent · needs a receipt
  3. TRF P/O OWNER+1 400,00 € Transfer with the owner · no document needed

The problem it solves

Invoices arrive everywhere

In e-mail, on paper, as a photo on someone's phone. Some never reach the accountant at all.

The bank statement says very little

A line like TRF P/ 0702 MEDIS doesn't tell you which invoice it paid, or whether there was one.

The gaps show up too late

The month closes, the accountant asks about each unexplained payment, and the receipts are long gone.

Tally's idea is simple: every movement on the bank statement should have its document, and Tally does the chasing so you don't have to.

How Tally works

Four steps, repeated every month. You do the parts only a person can do; Tally does the rest.

1

Collects

Forward invoices to your company's mailbox, drop them in a shared Google Drive folder, or upload a PDF or a photo. Tally checks the mailbox and the folder on its own.

2

Reads

AI reads each document: supplier, NIF, date, number, totals and VAT. Anything it isn't sure of waits in Needs review for a person to confirm.

3

Matches

Upload the month's bank statement. Tally pairs each movement with its invoice, and for the ones nothing explains it suggests what they are (rent, salary, a transfer with the owner) and which document is still needed.

4

Closes the month

On the 2nd of each month Tally reminds you if the bank statement or the sales file (SAF-T) is missing. Your accountant downloads the month in one click.

What you see every day

Dashboard

Each month's reconciliation status at a glance: what is matched, what is missing and what is still to pay.

Needs review

The few documents the AI wasn't sure about, with the original beside the fields, ready to confirm or correct.

Movements without a document

The top payments nothing explains yet, each with a suggestion. Accept it, dismiss it or attach the document. Nothing is applied on its own.

Expense watch

A supplier's price going up, an invoice far above the usual, a regular payment that didn't go out, the same amount paid twice, new suppliers. Plain arithmetic on your own books.

To pay and to receive

The invoices you owe and the ones you are owed, by due date, so nothing is paid late or left uncollected.

Exports for the accountant

Each month as an Excel file (invoices, totals by category, VAT by rate), as a CSV, or as a ZIP with every document.

Integrations

Tally fits around the tools you already use. Suppliers keep sending invoices the way they do, the bank stays your bank, and your accountant gets files their software reads. You set each one up once.

Documents come in

E-mail mailbox

Connect a mailbox such as faturas@yourcompany.pt (Gmail, Outlook or any provider). Tally reads new messages every ten minutes and takes every attachment, ignoring logos and signature images.

Set up once: type the address and Tally finds the server settings. Forward invoices there, or ask suppliers to send them there directly. You can limit which senders are read.

Google Drive folder

Keep documents in a Drive folder, organised however you like, and Tally reads new files from it and its subfolders every ten minutes. Google Sheets and Docs come in as Excel and PDF.

Set up once: share the folder with Tally's address as a Viewer and paste its link in Settings. Tally only reads: nothing in your Drive is moved or deleted.

Upload or photo

Drag in PDFs, or take a photo of a paper receipt with your phone. Photos are kept at full quality, because they become the archive copy if the paper is thrown away.

Set up: nothing. Drop files in the Inbox, or tap the camera button on your phone.

Checked against

Bank statements

The monthly statement from your homebanking, as CSV, Excel or PDF, from any bank. Tally imports the movements and matches each one to its invoice. No bank password is ever given to Tally.

Each month: upload the statement, or send it the same way as invoices. Tally recognises it on its own.

e-Fatura

The list of invoices your suppliers communicated to the tax authority against your NIF. Tally compares it with what it has: invoices you never received, amounts that differ, and invoices that were never communicated.

When you want: export the list from the Portal das Finanças (e-Fatura, Obter dados para Excel) and upload it under Reconciliation.

SAF-T sales file

The month's sales from your invoicing software. Tally files it under the right month for your accountant, and reminds you on the 2nd if it hasn't arrived.

Each month: export it from your invoicing software and upload it or send it in. Tally reads the months it covers from the file itself.

Goes out

Reminders by e-mail and WhatsApp

Month-end reminders arrive by e-mail. Due dates, overdue invoices and documents waiting for review can also reach you on WhatsApp, at the number each owner sets.

Set up once: add your WhatsApp number under Your account, or leave it empty to stay on e-mail.

Your accountant's software

Each month as an Excel workbook (invoices, totals by category, VAT by rate), a CSV to import into accounting software, or a ZIP with every original document filed by category.

Set up once: invite your accountant. They download the months themselves, read-only.

Who uses it

The owner

Runs the company's books: uploads, confirms, reconciles and pays. Invites the accountant and decides who gets in.

The accountant

Gets read-only access to the books and the monthly exports. They can flag anything that needs attention, and they stop asking about each payment by e-mail.

And the reminders come to you: on the 2nd of each month for a missing statement or sales file, and every Monday with the payments still missing their document, only when there is something to say.
